Terms and Conditions

Books

Scope of work

Proofreading:

​

All proofreading will be undertaken in MS Word. (Should you wish for your work to be proofread in pdf form there may be an additional fee for the software.) All changes will be recorded via the ‘Track Changes’ feature, and comments may be added via the ‘Comments’ feature. A list of style notes and queries will be sent to the client in a separate document near the end of the process. The client will be provided with a copy of the tracked changes document for their approval.

 

Unless directly specified otherwise, the proofreading will be undertaken in UK English and the publisher’s style guide for referencing will be used. Please note that it is the client’s responsibility that any changes to the style of English or referencing are declared before work begins.

Proofreading will include a thorough review of the spelling, grammar and punctuation. This will include correcting such errors and standardising the style of English throughout (for example, changing all US English to UK English or vice-versa). Clients must not make changes to the text after the proofreading without informing New Word Order.

Period of agreement:

​

This agreement will remain valid from the date of payment of the initial invoice until the final delivery of the manuscript and acceptance by the client and publisher (if applicable). At this point, any final payments are due within 30 days. 30 days after the receipt of this final payment, all manuscript materials provided by the client will be permanently deleted.

 

Any materials provided to New Word Order remain strictly confidential and this confidentiality remains in place indefinitely.

 

Unless specified otherwise New Word Order does not provide plagiarism checks and is not responsible for any missing references which were not provided by the client.

 

Delivery:

 

Work will commence upon the agreed upon date or when the deposit has been received, whichever is later. Any queries which remain outstanding once the proofread work has been returned to you will be resolved as soon as reasonably possible.

Pricing:

 

A 50% deposit is due before any work on the manuscript can begin with the balance payable upon the acceptance of the complete file. Final balances must be paid within 30 days of the receipt of the invoice.

​

There is no VAT or any tax upon the amounts paid.

​

The client is responsible for all transaction costs and charges for the payment incurred by the payment itself so that the invoice total is received whole. The invoice will provide bank details for electronic transfer.

​

Any reworking at the request of the publisher will be undertaken free of charge if such reworking is the result of incomplete proofreading or such similar oversights. However, any further material added to the manuscript after the work has started will be subject to an additional charge if this material exceeds 5% of the original manuscript.

Late payments:

​

New Word Order reserves the right to charge a 5% late fee (this being 5% of the invoice due) to the final amount payable should the client fail to pay the final invoice within the 30 days provided. This late fee will increase to 10% if the payment is later than 90 days.

​

Should there be any issues with the payment, please inform New Word Order prior to the payment being late and we’d be happy to agree to appropriate extensions to the payment terms.

Responsibilities of New Word Order:

 

New Word Order will proofread the manuscript in accordance with the requirements of the client and will return the proofread manuscript to the client for approval. New Word Order will re-work the text at no extra charge should it be required by the publisher.

Any queries from the client will be dealt with promptly.

​

Responsibilities of the client:

​

The client agrees that they can meet all of the payment terms of the agreement before embarking on the agreement.

​

The client warrants that the materials they have provided do not contain illegal, unlawful, or objectionable material – including, but not limited to, sexism, racism, hate speech or incitement to hatred.

​

Should any materials submitted be found to include such materials New Word Order reserves the right to refuse to work on the material.

​

All matters of copyright and completeness of references are the responsibility of the client.

​

GDPR:

​

New Word Order may process personal information for different purposes on the following legal basis: to conduct this agreement, to comply with legal responsibilities and otherwise with the consent or at the direction of the client.

​

Specifically this will include collecting data relating to the proofreading of the book to facilitate the agreement and communication with the client during the proofreading process. Such data will be stored on a personal computer and NWO confirms that all data including pricing and other such personal information will be kept secure and confidential. Sharing of information may only take place when legally required or with the consent of the client.

​

Data will not be disclosed to a third party.

​

Renegotiation or renewal:

​

Should the scope or content of the work change substantially a renegotiation of the agreement shall be made between the parties with an amendment to the contract price. Substantial, in this case, shall include additional text exceeding 5% of the original manuscript word count.
